6 min read   ·   Shree Grain Agro Exports

International sourcing conversations move more clearly when the buyer shares the main commercial details from the beginning. Use this checklist to organise an initial inquiry for rice, spices or pulses.

Describe the product precisely

Name the product, variety or form and attach a written specification if you have one. If a specific quality or origin is required, state it clearly.

State quantity and packaging

Provide estimated order quantity, pack size, packaging format and any private-label requirement. If you are planning repeat orders, indicate the expected frequency as an estimate.

Share the destination

Include the destination country and preferred port or delivery location. Mention whether you need a particular shipment window or delivery arrangement.

List documentation and compliance needs

Ask which documents the supplier can provide and confirm destination requirements with your importer, customs broker or relevant authority. Do not assume every document is available for every product or shipment.

Clarify commercial terms

Discuss quotation validity, currency, payment terms, inspection, sample approval, lead time and delivery terms. Record agreed terms in the final contract or purchase order.

Quick inquiry checklist

  • Product and written specification
  • Quantity and packaging
  • Destination country and port
  • Required documents and compliance checks
  • Commercial terms and timeline
